1. Introduction & scope
This policy explains what information Steadnex collects, how we use and protect it, and the choices you have. It applies to our website and to the Steadnex application, where you track your companies, compliance deadlines, and documents. We aim to collect only what we need to run the service well, and to be plain and honest about it. By using Steadnex, you agree to the practices described here.
2. Information we collect
We collect the account information you give us when you sign up, such as your name and email address. We collect the business entity data you enter into the app — company names, registration and entity numbers, EINs, addresses, officers and members, filing dates, and similar records — as well as the documents you upload. We also collect basic usage and log data (such as the actions you take, device and browser information, and IP address) to keep the service secure and working, and we use essential cookies needed to sign you in and keep your session active.
3. How we use your information
We use your information to provide and operate the service: to show your companies and documents, track filing deadlines and good standing, and send the reminders you ask for. We use it to power the AI advisor and AI-assisted features, to provide customer support, to keep the service secure and prevent abuse, and to improve and develop the product. We don’t use your business data to advertise to you.
4. AI processing
When you use the AI advisor or AI-assisted features, the relevant business data is sent to our AI provider — Anthropic, accessed through the Vercel AI Gateway — to generate plans, documents, and answers. Where feasible, we minimize or redact sensitive identifiers, such as EINs, from the context we send to the AI. Under our configuration, the AI provider does not use your data to train its models. AI output is generated to help you and should be reviewed before you rely on it.
5. Service providers & processors
We work with a small set of trusted providers who process data on our behalf so we can run the service. These include Supabase (database, authentication, and file storage), Resend (email delivery), Cobalt, OpenSOSData, and UK Companies House (official business-registry lookups), Anthropic via the Vercel AI Gateway (AI features), Vercel (hosting), and Stripe (payments). Each provider processes data only as needed to deliver its service and under its own terms and privacy commitments.
6. How we share information
We do not sell your personal data. We share your information only with the service providers listed above, to the extent they need it to operate the service for you, and when we’re legally required to do so — for example, in response to a valid legal request, or to protect the rights, safety, and security of Steadnex and its users.
7. Data security
We protect your data with encryption in transit and at rest, row-level data isolation so each account’s records are kept separate from others, and access controls that limit who and what can reach your data. No system is perfectly secure, and we can’t guarantee absolute security, but we take reasonable, ongoing steps to safeguard your information.
8. Data retention
We keep your information for as long as your account is active and as needed to provide the service. You can export your data at any time from your account settings, and you can ask us to delete it. When you delete your account, we remove your data, except where we need to retain limited records to meet legal, accounting, or security obligations.
9. Your rights
You can access, export, correct, and delete the data you store in Steadnex. Depending on where you live, you may have additional rights — for example, California residents under the CCPA and residents of the EEA and UK under the GDPR have specific rights regarding their personal data. 10. Cookies
We use only essential cookies — the session and authentication cookies needed to sign you in and keep you signed in securely. We don’t use advertising or third-party tracking cookies.
11. Children’s privacy
Steadnex is built for business owners and is not directed to anyone under 18. We don’t knowingly collect personal information from children. If you believe a child has provided us information, contact us and we’ll delete it.
12. International users
Steadnex is operated with the help of providers based in the United States and elsewhere, so your data may be processed in the United States and other countries where our providers operate. Those countries may have different data-protection laws than your own. By using Steadnex, you understand that your information may be transferred and processed in these locations.
13. Changes to this policy
We may update this policy as the service evolves or the law changes. When we make a material change, we’ll update the “last updated” date above and, where appropriate, let you know. Your continued use of Steadnex after a change takes effect means you accept the updated policy.
